1. Who we are
Koshika is a hotel group deposit management software operated by Koshika AI ("we", "us", "our"). You can reach us at team@koshika.xyz.
2. What data we collect
We collect data you provide directly: your name, email address, hotel or company name, and any group sales contracts you upload or share with us via inbox connection. We also collect usage data (pages visited, features used) via analytics tools.
3. How we use your data
We use your data to: (a) extract deposit milestones from your group sales contracts; (b) send automated reminders to your clients via WhatsApp and email on your behalf; (c) generate audit-ready deposit records for your finance team; (d) improve our product. We do not use your contract data to train our AI models.
4. Data storage and security
All documents are encrypted at rest (AES-256) and in transit (TLS 1.3). Data is stored in secure, SOC 2-compliant data centers. We retain your data for the duration of your subscription and delete it within 30 days of account closure upon request.
5. Data sharing
We do not sell your data. We share data only with sub-processors required to operate the service (e.g., cloud infrastructure, WhatsApp Business API provider, email delivery). All sub-processors are bound by data processing agreements.
6. Your rights
You may request access to, correction of, or deletion of your personal data at any time by emailing team@koshika.xyz. We will respond within 30 days.
7. Cookies
We use essential cookies for authentication and analytics cookies to understand how visitors use the site. You can disable analytics cookies via your browser settings without affecting core functionality.
8. Changes to this policy
We may update this policy from time to time. We will notify you of material changes via email or an in-product notice at least 14 days before they take effect.
